FUNDRAISING & SPONSORSHIP POLICY AND GUIDELINES
1. Introduction
This policy outlines the guidelines and procedures for fundraising and sponsorship activities at Lucan United Football Club. It aims to ensure all fundraising efforts align with the club’s values, legal requirements, and financial objectives while maintaining transparency and integrity.
2. Purpose
The purpose of this policy is to:
- Establish clear procedures for fundraising activities.
- Ensure all fundraising efforts are ethical and compliant with relevant laws.
- Protect the club’s reputation and maintain public trust.
- Maximise fundraising potential through structured and strategic approaches.
3. Scope
This policy applies to all members, volunteers, employees, and third parties involved in fundraising activities on behalf of Lucan United Football Club.
4. Types of Fundraising Activities
The club engages in various fundraising activities, including but not limited to:
- Sponsorships
- Donations
- Events (e.g., matches, dinners, auctions)
- Merchandise sales
- Grants and funding applications
- Crowdfunding campaigns
5. Ethical Standards
Fundraising activities must adhere to the following ethical standards:
- Transparency: Clear and accurate information about fundraising goals, methods, and the use of funds must be provided.
- Accountability: Funds raised must be used for the intended purposes and managed responsibly.
- Respect for Donors: Donors’ privacy and wishes must be respected. No pressure should be applied to potential donors.
- Compliance: All activities must comply with relevant laws and regulations, including those related to fundraising, taxation, and data protection.
6. Financial Management
6.1 Fund Deposits
- All funds raised must be lodged to the club's bank account promptly.
- Details available upon request.
6.2 Record Keeping
- Accurate records of all fundraising activities and transactions must be maintained.
- Receipts must be issued for all donations and sponsorships.
- Regular financial reports must be provided to the board.
6.3 Use of Funds
- Funds must be used for the purposes for which they were raised.
7. Donor Recognition
The club will acknowledge and thank donors in a manner consistent with their wishes and the club’s policies. Recognition may include:
- Public acknowledgments (e.g., newsletters, website, social media).
- Certificates or plaques.
- Invitations to special events.
8. Fundraising Events
8.1 Planning and Approval
- All fundraising events must be planned in detail and approved by the Executive Committee.
- Risk assessments must be conducted for each event to ensure the safety and well-being of participants.
8.2 Execution
- Events must be executed in accordance with the approved plan.
- Financial and activity reports must be submitted to the Executive Committee post-event.
9. Sponsorship
9.1 Solicitation
- All sponsorship and partnership solicitations should clearly outline the benefits to the sponsor and the club.
10. Monitoring and Evaluation
The Executive Committee will regularly monitor and evaluate fundraising activities to ensure effectiveness and compliance with this policy. Annual reviews will be conducted to assess the success of fundraising efforts and identify areas for improvement.
11. Policy Review
This policy will be reviewed annually by the Executive Committee and updated as necessary to ensure it remains relevant and effective.
